Position: Registrar/Treasurer Provincial Junior Hockey League of Ontario (PJHL)

Status: Full-time

Reports To: PJHL Commissioner

Location: 1465 Bishop Street North, Unit 2, Cambridge, Ontario

Job Purpose

The Registrar/Treasurer provides administrative support to the Commissioner and Executive Board of the Provincial Junior Hockey League.

Duties and Responsibilities

The Registrar/Treasurer of the PJHL reports to the PJHL Commissioner. The duties and responsibilities of this position are as follows:  

  • Responsible for the accurate and timely recording and registration of all PJHL participants on the Hockey Canada Registry (HCR)
  • Monitors compliance to the player and staff registration rules of the PJHL/OHA
  • Plans and organizes the registration cycle and related communications to PJHL Member Teams
  • Works cohesively with the Ontario Hockey Association (OHA), the Ontario Junior Hockey League (OJHL) and the Greater Ontario Junior Hockey League (GOJHL) Registrars to ensure efficient registration and transfer of players and staff as required
  • Communicates effectively and in a timely manner with PJHL Member Teams regarding player and staff registration status
  • Liaises with all PJHL Member Teams with regard to matters of registration and fee payments
  • Communicates needed registration information with PJHL Member Teams
  • Develops processes to train and support Member Teams with the HCR
  • Responds to general registration questions and specific questions about the HCR
  • Tracks and cross-references registration of players with the receipt of associated fees
  • Tracks and reports registration data at regular intervals
  • Prepares timely and accurate reports for the Commissioner and PJHL Executive Board
  • Creates and maintains all financial records for the PJHL
  • Keeps accurate records of all financial transactions utilizing accounting software
  • Keeps accurate records of all banking transactions
  • Maintains the League’s financial records
  • Assists with the creation of the League budget
  • Accepts, records, and tracks payments from Member Teams
  • Works with the Auditors/Accountants retained by the PJHL to track and audit the financial records of the PJHL
  • Liaises with the Executive Board on registration matters
  • Liaises with the Registrar of the Ontario Hockey Association
  • Attends meetings as directed by the Commissioner
  • Other duties as assigned by the Commissioner

Background and Experience

The following background and experience is required:

  • Experience with/background in records management
  • Technical proficiency with the Internet and Microsoft Office Suite software  Ability to learn computer software programs quickly
  • Knowledge of Hockey Canada (HC), Ontario Hockey Federation (OHF) and Ontario Hockey Association (OHA) requirements 
  • Knowledge of and experience with the Hockey Canada Registry (HCR) registration system
  • Ability to interpret and follow business documents such as policies, procedures, manuals, and other business documents 
  • Superior organization skills
  • Strong attention to detail/accuracy, willingness to complete projects with high standards
  • Demonstrated ability to meet deadlines
  • Ability to communicate effectively with a wide variety of stakeholders (players, team owners, board members, other league personnel, etc.)
  • Ability to effectively organize conflicting priorities
  • Proven ability to work independently and prioritize competing tasks
  • Exceptional verbal and written communication skills
  • Report writing skills and experience
  • Knowledge of and experience with book-keeping and basic accounting principles
  • Knowledge of and experience with book-keeping/accounting software
  • The candidate may have hockey player, coaching, management or related experience
  • Knowledge of PJHL and other OHA leagues an asset

Work Environment

  • Non-traditional, flexible work hours required (evenings; weekends)
  • Seasonal busy periods with very high time demands
  • Some travel may be required
  • Meetings across Ontario are possible but not frequent
  • Attendance at Board of Governor, and other meetings required
